If you want to reserve a specific room or resource for an event, you can first check to see if it is available on the date and at the time when you need it.
Good to Know
- Past reservations are not shown. The reservation lists start from your current date.
- If a room or resource is deleted, it is also removed from every event that reserved it.
- Reservations are confirmed as soon as they are saved. There is no approval process.
- To be able to check room and resource availability for an event, you need to have access to edit that event, and be granted the Rooms and Resources permission. This permission lets you see and reserve rooms and resources, but does not allow you to change the list of rooms and resources - this is exclusively available to Owners, Admins, and Rooms & Resource Managers.
Check Availability
To check availability, go to Events > Rooms and Resources; or to Rooms and Resources in your main app menu.
Click the name of a room or resource to open its page. Here is where you will see:
- The type, the seats or the quantity available, and a Delete button.
- A Details box with an Edit link.
- The Reservations in the chosen period, with a summary such as 3 Events · 3 Reservations · 2 Conflicts. Each reservation shows the date, event, time, and how often the event repeats. Its status is Reserved or Double-Booked ("Also reserved by" names the other event for which the same room or resource is also booked). If the event belongs to another ministry, the ministry name is shown. Click Open Event to go to the event. You must have access to the ministry the event belongs to in order to open it.
Filter Reservations
The room or resource page allows you to filter room and resource reservations, as follows:
- Period: Next 30 Days, Next 3 Months (the default), Next 6 Months, or Custom. You can also pick the From and To dates to customize the date range. The period you can filter starts on the current date and covers up to 6 months.
- Event Name: show only matching events. Click Filter to apply.
- Conflict Only: show only double-bookings.
