Introduction
Automated Tasks allow you to create automation workflows to perform specific tasks such as sending communications, adding people to ministries or groups; or creating follow-ups.
This is a paid feature, only available to users with Owner or Admin roles.
If you have a Demo account, you can set up Automated Tasks, but our security measures prevent any communications from being sent.
To reach Automated Tasks, go to Settings > Automated Tasks.
Task Types
You can create the following task types:
- Anniversary: Send anniversary greetings to people via email, push notification, or SMS. This task runs daily at the scheduled time for all people who have their anniversary that day.
- Birthday: Send birthday greetings to people via email, push notifications, or SMS. This task runs daily at the scheduled time for all people who celebrate their birthday that day.
- Follow up for New Giver: Automatically create a follow-up when someone donates to a specific fund for the first time. This task runs daily at the scheduled time for all new givers.
- Newcomer: Communicate with newcomers, add them to groups or ministries, and create follow-ups. This task runs when a new member registers or is added, 15 minutes after the record is created.
- New Event Attendee: Communicate with new event attendees, add them to groups or ministries, and create follow-ups. This task applies to people who attend any event for the very first time or after a 12-month absence. This task runs 15 minutes after a new or 12-month-absent attendee checks in for an event.
- Reminder: Send reminder emails, push notifications, and SMS based on a schedule and a set of criteria. This task runs according to the set schedule for all people who meet the set task criteria.
Birthday and Anniversary
These tasks let you send a greeting email, push notification or SMS to members on their birthday or anniversary and triggers daily at the scheduled time for members whose birthday or anniversary is that day.
To add a Birthday or Anniversary task, select it under Settings > Automated Tasks, then configure the following:
- Select the task type under Settings > Automated Tasks.

Enter a Name, then set the time when the task should run.

Set the task Criteria. This is where you choose what set of people the task will apply. You can filter by Gender, Age Range, Groups, or Zip Code. Task Criteria are optional; and if you do not set any, the task will apply to all people.

Configure the Action that will be taken when the task runs. The only action this task can perform is to send communications. You can choose to send an Email, Push Notification or SMS. You can check all options and edit the contents of each type of message.
- When your configuration is ready, click Save to save the task.
Once enabled, the task will be displayed on your main Automated Tasks screen. You can choose to toggle it on or off later on.
Follow-Up for New Givers
When someone donates to a specific fund for the first time, a follow-up task will be assigned to the giver. This task will run daily at the scheduled time for all new givers.
To configure the follow-up task, follow these steps:
- Select the task type under Settings > Automated Tasks.
- Enter a Name to identify the task,
- Set the time when the task should run.
- Select the Fund to which givers should contribute for this task to trigger.
- Check the checkbox to consider givers as new if they have contributed within the last 12 months.
- Select a Responsible person for the follow-up,
- Select an Action for the follow-up
- Set the Days to Add.- This lets you set whether you want the task to trigger a number of days after someone gives; and not necessarily the day of the giving (or the following day depending on the time when the donation takes place.)
- Save the task when ready.
Once enabled, the task will be displayed on your main Automated Tasks screen. You can choose to toggle it on or off later on.
Newcomer and New Event Attendee Tasks
When someone joins your church, or attends an event for the first time, you can create an automated task that sends them greeting communications, adds them to a ministry or group; or creates a Follow-Up.
The two task types are configured identically. The only difference is that for the New Event Attendee Task, you can choose to consider an attendee as new if they haven't attended any event within the last 12 months.
To configure this task, follow the steps below:
- Select the task type under Settings > Automated Tasks.
- Enter a Name for the task.

Set the task Criteria. This is where you choose what set of people the task will apply. You can filter by Gender, Age Range, or Groups. Task Criteria are optional; and if you do not set any, the task will apply to all people.
For the New Event Attendee task, the criteria also give you the option to Consider an attendee as new if they haven't attended any event within the last 12 months.

Configure the Action that the task to execute. There are four task types available and you can set each of them once per task. So, you can create one task that sends a message to people, adds them to a ministry, adds them to groups, and creates a follow-up, all in one go.

Communicate: Sends automated email, push notifications or SMS to newcomers once they join.

Add to Ministry: This action automatically adds newcomers to the selected ministry and group.

Add to Group: This action automatically adds newcomers to a selected group. When you choose to run this action via an automated task, you can also notify the group leaders about the new people being added.

Follow-Up: This action lets you automatically add a Follow-Up for newcomers. You can set the Responsible, the Follow-Up Action, and Days to wait until adding the Follow-up after someone new joins your church.

Communicate: Sends automated email, push notifications or SMS to newcomers once they join.
- Save the task when ready.
Once enabled, the task will be displayed on your main Automated Tasks screen. You can choose to toggle it on or off later on.
Reminder
This task lets you send a reminder to people, based on a schedule and a set of criteria.
To add a reminder, select the Reminder task.
- Enter a Name for your task.
- Select the Time when the task should run.
- Set the task schedule: Daily, Weekly, Every 2 Weeks, Monthly, or Yearly.

Set the task Criteria. This is where you choose what set of people the task will apply. You can filter by Gender, Age Range, or Groups. Task Criteria are optional; and if you do not set any, the task will apply to all people.

Configure the Action that will be taken when the task runs. The only action this task can perform is to send communications. You can choose to send an Email, Push Notification, or SMS. You can check all options and edit the contents of each type of message. You can choose whether to send the communication on the same day as configured; or after a set number of days. You can also select the sender - either the main church admin or your own account, if different.
- When your configuration is ready, click Save to save the task.
Once enabled, the task will be displayed on your main Automated Tasks screen. You can choose to toggle it on or off later on.
Edit and Delete Tasks
All tasks you add can be enabled or disabled; as well as edited or deleted.
Please note that deleted tasks cannot be restored.
