As a ChMeetings Owner, Administrator, or user with Appointments permissions, you can manage bookings on behalf of members.
Book Appointments on Behalf of Members
To book appointments as an Admin, please follow the steps below:
- Go to Appointments.
- Click Appointment Types.

Find the appointment type you want to book and click Book an Appointment.

Next, you will see a calendar that lets you choose the date of the appointment. Available dates are in blue font. Dates in gray are unavailable. Click the date you’d like to book.
- Select the Person on behalf of whom you’re booking.
- Select one of the Available Slots. Each slot is set to the defined session duration for the appointment type and cannot be changed.
- Check the Summary section at the bottom to ensure accurate booking details.
- Add a Note if required.

Click Book Appointment when ready.

Next, please confirm the booking by clicking Confirm.

Lastly, you will see a booking confirmation screen listing all booking details. At the bottom of this window, you will have the option to Cancel or Reschedule this appointment, if needed.
Manage Appointments Booked with You
You can see all appointments people booked with you listed under the Appointments section. Each entry provides information about the member requesting the appointment, the type, the date and time when the booking was made, and the date and time of the appointment.
From this screen, you can view, reschedule, or cancel existing appointments.
Reschedule an Appointment
To reschedule an appointment, find the person who made it, click the Options icon next to their entry, and select Reschedule. You can also start the rescheduling process from the booking confirmation window, as shown above, under “Book Appointments on Behalf of Members”.
You will then be asked to select a new date and time for the rescheduled booking. See the summary and confirm the rescheduled appointment, the same as during the initial booking process described above.
Cancel an Appointment
To cancel an appointment, find the person who made it, click the Options icon next to their entry, and select Cancel Appointment. You can also start the cancellation process from the booking confirmation window, as shown above, under “Book Appointments on Behalf of Members”.
Next, please confirm your request to cancel the appointment.
Once canceled, the member will be notified and the appointment booking will be removed from your list of appointments. Canceled appointments cannot be restored.
Export Appointments
You can export your list of appointments using the Export button on the top right. This will download an Excel spreadsheet which you can then use however you need to.
