The Import Pledges tool allows you to automate adding pledge records to ChMeetings from external systems using a spreadsheet.
You can import .csv, .xls and .xlsx spreadsheets.
Note that this tool imports pledge entries, not pledge campaigns or profiles of pledging members. Therefore, the people and the Pledge Campaigns found in your import data must already be present in ChMeetings before import. You can use the Import People tool to add the members, and then create the Pledge Campaign manually. Once these are ready, you can proceed with the pledge import.
This guide takes you through the import process, step by step.
Step 1: Download And Edit The Template
Please go to Settings > Tools > Import Pledges, then click the Download Template File button, to get started.
The template will be an Excel spreadsheet with a few columns to fill out. Please populate the template with data according to these guidelines, to ensure a smooth import process:

Person Information
- Your file should include three columns: [Person Id], [First Name], and [Last Name].
- If [Person Id] is available, we will use that to identify the person.
- If the [Person Id] is not present, we will search for the person using their [First Name] and [Last Name].
- The [Person Id] is required. If we can't find the person using any of these details, the import won't proceed and you will see a “Wrong Person at row….” error instead.

Dates
- The [Start Date] and [End Date] columns are required. These should match the campaign dates for the [Campaign] you’re importing into.

Campaign Name
- The [Campaign] column is required and should match an existing campaign name in your account.

Fund Information
- The [Fund] column is optional.
- If left blank, pledges will be assigned to your default contribution fund.
- If you enter data in this column, we will validate it, and if there are any errors, the import will stop, and you will be notified.

Pledged Amount
- The [Pledged] column is required and must contain the pledged amount.

Include Family Members
- The [Include family members] column is optional.
- If filled out, it should contain either Yes or No. If left blank, we will assume No.

Notes
- The [Notes] column is optional.
- If filled out, the notes will be saved in the Pledge section.
Step 2: Upload The Data File
You are now ready to upload your data file for import. Simply click Select File, then browse your computer for the file you just edited. Depending on the size of your file, the upload might take a few moments. When it is successful, you will see this on-screen.
Click Next to go to the last step of the import.
Step 3: Complete The Import
Now you can review the results of your import. If everything looks correct, please click Import.
If the import does not proceed due to any errors, or you notice anything incorrect on the overview page, please check your data file, correct the issues, and run the import again. Just refresh the page to start over or go to Settings > Tools > Import Pledges.
