You can import event registrations by going to Settings > Tools > Import Registrations.
Within the import screen, follow these steps to run the import:
In the Event & Title tab:
- Choose the Event: The registrations are added to this event. You can import one event per file. Select the event in the list to proceed.
- Upload the Registrations File
- Use one row per attendee. Rows with the same Registration ID become one registration.
- Use the template, or match your file's columns in the next step.
- Columns that aren't standard fields can be added as questions on the event's registration form.
- Up to 2000 rows per file are supported.
- Download the Template File and add your data to it.
- Upload your newly populated file.
In the Columns tab:
Map the Columns in your file to registration fields. Choose where each column of your file goes. Registration columns can be filled on the first row of each registration only. Choose how your dates are formatted in the file - either day first (European format), or month first (US format).
Check the following mapping:
- Column in Your File: Shows the column header within your imported data file.
- Import As: Lets you choose the field to which the data will be mapped.
- Sample Values: Shows you some samples found in the column you’re working with.
Scroll to check all columns and adjust as needed. Click Next when done.
In the Values tab
Check your import settings to decide what to do for attendees who are or are not found in ChMeetings during import.
- Attendees Not Found in ChMeetings
- Add Them as Contacts
- Import Them as Guests, Without a Profile
- Leave Them Out
- Profiles of Attendees Who Are Found
- Fill In Empty Fields Only
- Leave Profiles as They Are (no change)
- Replace With the Values in the File
Check if you want to Record Check-ins for Attendees Marked as Attended
In the Review tab
Here is where you can review the import and see statistics on what has been imported. You can also see any potential errors in the data and go back to fix or remove the respective rows. The import will not proceed until this is done.
If there are no errors, you will see the status of your records and be able to proceed with the import. Click Import [n] Registrations to do so.
All done.
You can now see a brief import summary, and can either download your results (meaning a list of registrations along with matched ChMeetings profile data) or import another file.
