To gain insight into your events, you can access a variety of event-related reports. This guide points you to where you can reach them and what kind of data you can access.
Every event in your list is associated with a dedicated report. You can access it by going to Events in the main menu, selecting the respective event and clicking the Reports button.
Individual event reports are dedicated to each type of event: either one time or recurring.
One Time Event Reports
For one time events, the Reports button within the event page allows you to access attendance data for Absentees, Attendees, and Guests. For each list you can communicate to people via text, email, and push notification. You can export the list and access more action, such as adding people to ministries or groups, adding follow-ups, inviting people to the Member Portal or managing profiles through bulk updates, archiving or deleting.
One time event reports also come with an Advanced Search area, where you can:
- Search people by name,
- Filter by gender or group,
- Filter by attendance data (attendance, absence),
- Exclude archived people from the report,
- Filter by custom profile fields.
Recurring Event Reports
The Reports button on a recurring event takes you directly to the main Recurring Events Report, which you can also access by going to Reports > Statistical Reports > Recurring Event Report.
This report provides insight into recurring event attendance, by providing you with an overview of attendees, absentees, newcomers and attendance rate evolution of the last event.
The report comes with two tabs:
The List tab lists your recurring events, and each of their occurrences, along with the people who have either attended or been absent.
The Chart tab shows graphs for the overall attendance rate, attendee age and gender, as well as a general view of people who attended all, some or no events. The Group Attendance toggle enables graphs related to the attendance of specific groups.
There are filters for the date range, the event you want to gain insight into, as well as the attendee gender. Group-specific events can also be filtered by group and people’s attendance can be filtered by Attended or Absent. Additionally, you can exclude archived people from the report. In the List Tab, you can also find a filter for Additional Fields, which filters the report by custom profile fields in attendee profiles.
You can also export the report to the same formats as in the People area (Excel, Mailing Labels, Directory, Name Tags, QR, QR Cards, Photos, Letter). When exporting to Excel, you can choose to export the default columns to select a custom list by checking any profile fields you may need.
Event Registration Log Report
The Event Registration Log Report is accessible under Reports > Log Reports and allows you to see all registration and cancellation logs within a particular time range, along with the payment information corresponding to registrations. It can be filtered by Status (registered, cancelled or payment updated), Time Range, User and Person. Clicking the number of people will reveal a list of the people who have generated that log entry.
This report can be exported to an Excel file.
Attendance Report
This report is available under Reports > General Reports and allows you to retrieve lists of people who have attended or have been absent from your events within a certain period of time and based on specific criteria.
The report lets you search for attendees or absentees and filter by gender, group, event, or city. You can search by day, month, year, or within a custom period. For absentees, you can use the following additional features:
- Select the time since they have been absent,
- Include those who partially attended once or multiple times, but did not attend all occurrences of the events.
- Search for people who were absent within the selected period but have attended at least once since a specific month.
Once you run your search, you will see a list of people who meet your criteria. The report also includes Bulk actions (available when selecting people in the search results). This option allows you to communicate, update profiles in bulk, etc., just like in the People module.
You can also export the report to the same formats as in the People area (Excel, Mailing Labels, Directory, Name Tags, QR, QR Cards, Photos, Letter). When exporting to Excel, you can choose to export the default columns to select a custom list by checking any profile fields you may need.
Attendance Rate Report
This report is available under Reports > Statistical Reports and is a chart showing overall attendance, for the week, month, or year, and within a date range, for specific groups or events. The data is split by gender and displays guests.
