Introduction
Role configuration is the first step towards scheduling volunteers for an event. There are two ways in which you can configure roles:
- Standalone roles, in which volunteers are assigned to a specific role for that particular event.
- Team roles, which are available when Volunteer Teams are enabled. These roles can be added manually or can be pulled from your list of Volunteer Teams, which you can predefine and reuse across events, just like a template.See our dedicated guide to Volunteer Teams to learn more about how this feature works.
When teams are enabled, standalone roles are no longer available.
Let’s take a look at how each role type can be configured.
Configure Standalone Roles
Standalone roles are used when an event does not use a volunteer team, but simply assigns each person to their own role within the specific event. See Volunteer Teams to learn more.
When your event is new and has no volunteers scheduled yet, you will first need to configure the roles that you want volunteers to fulfill. Click Configure Roles to do so.
Make sure the Team Organization Toggle is turned OFF.
You can now add your roles, assign a leader and the number of volunteers needed for the specific role. Note that the leader can manage RSVP and receives notifications whenever someone rejects an assignment. (You must grant leaders with the Events > Volunteers permission.)
You can Delete a role by clicking the ⊖ sign on its right. You can add more roles using the corresponding Add Role option at the bottom. You can also Reorder the list of roles by dragging the reorder handle on the left side of each role. Click Save to save your role assignments.
If you are working with a recurring event, the roles you configure will be added to all instances of the event.
Edit Standalone Roles
Once your roles have been set up, you can edit them by going back to the Configure Roles section. From here, you can edit the number of needed volunteers per role. For recurring events, this is the only editing option at the moment (for now, standalone roles can’t be changed otherwise for such events).
Any changes in the main role configuration screen will be reflected across all dates if you are working with a recurring event.
Volunteer Teams
ChMeetings offers a dedicated feature for volunteer team management and you can configure teams for each event, including from predefined team structures that act as reusable “templates” for every event you organize. You can add the team under Worship Plans > Teams, then add it to your events via the role configuration area.
