Who Handles Your Member Data?
There are two entities that handle your data anytime you use your ChMeetings app:
- ChMeetings itself,
- The organization whose community you are part of.
ChMeetings’ Role In Protecing Your Data
Here are some important things that ChMeetings does to protect your data as a member:
- ChMeetings does not sell or use customers' data by any means. This will never change.

We implement AI-powered responsibly. All AI features are optional, so whether to work with them or not is your organization’s choice. Access to your data is not granted if not needed. So far, ChMeetings has implemented the following AI-powered features:
- MCP Tools - This allows organizations to connect ChMeetings to external tools via an API. AI tools may read your data, but cannot change it. ChMeetings does not process or store your conversations with integrated AI or any AI-generated outputs. The AI provider does.
- Advanced People Search: This feature allows admins to type in their search criteria rather than select various filters. Your data is not being accessed by this tool - only the admin’s prompt is. All this tool does is create filters from the text being entered into the Search with AI box. So, technically, there is no difference between this tool and searching your data manually. This tool just helps admins speed up the process.
- AI Form Builder: Admins can use an AI tool to build forms that you might submit. This only helps admins create the form fields and does not interact with the data you submit in any way whatsoever.
- AI Email Writing Assistant: This feature assists in writing emails and does not receive any of your data.
- We offer thorough guidance for the organizations collecting your data, so they can protect it as best as possible. We approach data protection aspects within relevant feature guides, and also offer dedicated Security guides, which you can also visit as a member. We also disclose the use of AI in our guides: Now this is strictly limited to synthetic voices in feature videos. This helps us bring more such videos to our community.
- We implement data privacy legislation and make relevant policies publicly available, as required by law. You can access the following anytime:
Customer Organizations’ Role In Protecing Your Data
Here is what your organization can do to protect your data and to keep you informed about how your data is being processed:
- Implement and inform you about their own data privacy and security policies and procedures.

Inform you in brief, plain language, about the following:
- Whether your data leaves ChMeetings in any way, where it may be sent, and why. This includes via the ChMeetings API, which allows our customers to connect to external systems for various practical purposes that help them offer you various services or help with their management.
- Whether and how any AI tool has access to your data, including via built-in ChMeetings features, such as MCP.
- Whether any content you are being provided with has been created using AI - including with the AI tools built into ChMeetings (AI email writing assistant or form builder).
- Allow you to opt out of various data processing practices.
