Introduction
ChMeetings comes with a variety of reports that allow you to retrieve insightful data or make different tasks easier to achieve. You can find them within the main ChMeetings menu.
The Reports module is divided into three main sections:
- General Reports
- Statistical Reports
- Log Reports (Only available for paid accounts)
This guide discusses the list of available reports, as well as details about the specific features that each of them provides.
General Reports
Archived People Report
This report stores people you no longer need in your People list but whose profiles you don’t necessarily want to remove altogether. Archived people count towards your plan.
For each person, you have the option to edit their profile, restore them to the main People list, or delete their profile. If you decide to delete them, they will go to the Deleted People Report. If you have a paid account, you can restore records from the Deleted People Report, where they are kept for 30 days after deletion.
The Archived People Report lets you filter by the date range within which a profile was archived and filter by name and archive date.
If you select people using the checkbox n
ext to them, you can access the Bulk Actions menu, which allows you to export, restore or delete the selected people.
Attendance Report
This report allows you to retrieve lists of people who have attended or have been absent from your events within a certain period of time and based on specific criteria.
The report lets you search for attendees or absentees and filter by gender, group, event, or city. You can search by day, month, year, or within a custom period. For absentees, you can use the following additional features:
- Select the time since they have been absent,
- Include those who partially attended once or multiple times, but did not attend all occurrences of the events.
- Search for people who were absent within the selected period but have attended at least once since a specific month.
Once you run your search, you will see a list of people who meet your criteria. The report also includes Bulk actions (available when selecting people in the search results). This option allows you to export the report, communicate, update profiles in bulk, etc., just like in the People module.
Birthdays Report
This report shows you the people who celebrate their birthday. You can filter by day, month, group or age range. The report can also be exported to several formats.
Family Report
This report gives you a list of people grouped by family. You can follow up with everyone in a particular family, archive, or delete them all. You can also add or remove people from groups or add them to a ministry. In addition, you can communicate with families using text messages, emails, or push notifications. When using these options, all family members are included. The report can be filtered by family member name, age range, and city; and exported to Excel.
Follow Up Report
This report provides insight into your follow-ups by allowing you to display people who have followed up or not or are pending a follow-up within a certain period of time. You can also select the type of follow-up, the city, or the group. You can text people right from within the report, and you can export it to Excel as well.
Households Report
This report lists the people and families who live within the same household, identified by the same address. If they are members of a family, then they will be listed as such. The report can be exported to Excel.
Sessions Report
This report lists all event sessions, along with information about the speaker, topic, date, time and associated notes. The list can be filtered by date range or topic, and can be exported to Excel.
Wedding Anniversary Report
This is a list of wedding anniversaries within the selected timeframe. You can choose to view by day, by month, or by group. The list can be exported to several formats.
Statistical Reports
All reports in this section, except for the Recurring Events Report, are only available for paid accounts.
Age Distribution Report
This report displays a chart grouping your congregation members by age group. You can export this chart to .pdf.
Attendance Rate Report
This is a chart showing overall attendance, for the year or month, as well as for specific groups. The attendance is split by gender.
Follow Up Statistics Report
This report shows the Follow Ups that are done or not done, per ministry and per group. It can be filtered by date range or group.
Geographical Distribution Report
This is where you can see the demographic data corresponding to your congregation, by city or Zip Code. This report includes people, families, households, males, females, unknown, children, youth, and older. The report can be exported to Excel.
New People Rate Report
This report displays how many people have been added to ChMeetings within a specific time frame (monthly or yearly). The chart splits people by gender.
People Count Report
This is a list of total people, total families and new members within the current month, per ministry. The report can be exported to Excel.
Recurring Event Report
This report provides insight into recurring event attendance, by providing you with an overview of attendees, absentees, newcomers and attendance rate evolution of the last event.
The report lists your recurring events, and each of their occurrences, along with the people who have either attended or been absent. There are graphs for the overall attendance rate, attendee age and gender, as well as a general view of people who attended all, some or no events.
There are filters for the date range, the event you want to gain insight into, as well as the attendee gender. Group-specific events can also be filtered by group; and people’s attendance can be filtered by Attended or Absent. Additionally, you can exclude archived people from the report.
Communication Reports
Email History Report
This report lists the emails that have been sent from within your ChMeetings account. Each email includes the subject, number of recipients, send date and status. The report can be filtered by start/end date and by person (recipient). You can export the list to Excel. Additionally, if an email is Pending (currently scheduled), you can edit and delete it. You can also see how many emails have been opened overall and per recipient.
Notification History Report
This report lists the notifications that have been sent from within your ChMeetings account. Each notification is listed along with its subject, message, date and number of recipients. The report can be filtered by date range or person (recipient). if a notification is Pending (currently scheduled), you can edit and delete it.
Text History Report
This report shows all text messages sent from within ChMeetings. It can be filtered by date range and person (recipient).
Log Reports (only available for paid accounts)
Access Log Report
This report provides an access activity list for users belonging to your ChMeetings account. It includes:
- The date.
- The user.
- The action (log in or log out).
- Access status (success or failure to log in).
- The IP address from which the user has logged in.
- The user’s location.
- The user’s operating system, browser and device type (desktop or mobile).
The report can be sorted by date and filtered by status, action or start/end date.
Deleted People Log Report
This report lists the people who have been deleted from your main People list within the last 30 days. After 30 days, people will be removed permanently and will no longer be displayed in this report. Any person can be restored while it is listed. You can search the report by name or start/end date.
To restore a single record, click the options button on the right, then click Restore.
To restore multiple people in one go, click the checkbox on the right to select the records, then click Bulk Actions > Restore.
Event Registration Log Report
This report allows you to see all registration and cancellation logs within a particular time range, along with the payment information corresponding to registrations. It can be filtered by Status (registered, cancelled or payment updated), Time Range, User and Person. Clicking the number of people will reveal a list of the people who have generated that log entry.
This report can be exported to an Excel file.
People Log Report
This report lists all actions performed by users on people’s profiles. These include:
- Update My Profile
- Register Existing Member
- Create Account
- Update Person
- Delete Person
The list can be filtered by date range and by user. The Details option shows you which profiles the action has been taken on, as well as further information on what data the profiles currently contain.
Note: All charts within all reports can be exported to Excel separately.
