With ChMeetings’ Events module you can print nametags right during the check-in process, using your Brother printer. This guide walks you through setting up your Brother printer to print check-in nametags for parents and children using the ChMeetings app.

Supported Brother Printers and Label Formats
ChMeetings supports the following Brother printers and label formats:
Brother QL-820NWB.

For these two printer models, we recommend the following labels:

Recommended Printers
We recommend Brother 820NWB and 820NWBc with a USB connection, Bluetooth, or wireless networking. These are modern printers, with few issues, and with wide compatibility across desktop and mobile devices.
General USB Setup For All Brother Printers
Start your setup with your printer turned off.

Open your computer browser and download the printer software.
The Document/Software Installer for Windows,
The Full Software Package for Mac.
Go through the installation process by following the on-screen instructions.
Connect your printer to your computer, using the USB cable.
Turn the printer on.

Brother 820NWB and 820NWBc
Bluetooth Setup
First, please enable Bluetooth from Menu > Bluetooth submenu > Bluetooth (On/Off) > On and Automatic Reconnection > On.
Disable WLAN from Menu > the WLAN submenu > WLAN (On/Off) > Off.
Disable Sleep mode from under Menu > Settings > Auto Power Off > Adapter (or Li-ion Battery if using a Battery) > Off.
Disable Templates under Menu > Template Settings > Template Mode > Off.
Pair your printer with your device by going into the device's Settings > Bluetooth. You can only pair the printer with one device at a time. If you have previously paired the printer with a different device, go to that device’s Bluetooth settings and forget the printer. Please do this even if the respective device is off.
Wi-Fi Setup

Connect both your printer and your mobile device to the same Wi-Fi network.
Tap Menu > WLAN > Infra Manual Setting. Select your Wi-Fi network and enter your password.

When selecting Wi-Fi as the communication mode, select Infrastructure only.
Tap Menu > WLAN > Network Mode > Infrastructure Mode.
Turn off bluetooth if enabled, from under Menu > Bluetooth > Bluetooth (On/Off) > Off.
Disable Sleep mode by tapping the Menu button, going to Settings, and selecting Auto Power Off > Adapter (or Li-ion Battery if using a Battery) > Off.
Disable Templates under Menu > Template Settings >Template Mode > Off.
Once your printer connects to the Wi-Fi network, the LED lights on the printer will stop blinking. It might take a few minutes until the printer becomes fully discoverable and available for printing during checkin.

Windows Wi-Fi Setup
Open the Printer Setting Tool on your computer and select Communication Settings.
On the General tab, choose Infrastructure or Ad-hoc as the interface.
On the Wireless LAN tab, select Infrastructure for the communication mode.
Enter the Wi-Fi network name (SSID) or search for the network. Enter the password (network key) and select Apply.
Press and hold the Wi-Fi button on the printer for one second.
Mac Wi-Fi Setup
From the installer you downloaded, open the Utilities folder.
Start the Wireless Device Setup Wizard and follow the on-screen instructions.
In-App Setup
Enable Name Tag Printing In ChMeetings
Before printing, ensure name tag printing is enabled:
Edit the Event for which you want to print nametags.
Locate the option: Enable Print Name Tags for Child and Parents.
Make sure the toggle is enabled.
In-App Printer Setup For First-Time Mobile Check-In
The setup process only appears during the first check-in. Printer settings are saved for future use. When you perform the first checkin:
A Printer Setup popup will appear during your first checkin process on an event with name tag printing enabled.
The app will request permission to find devices on the network. It will begin searching for available Brother printers.
Once a printer is detected, the Printer Settings screen will open.
In-App Printer Setup For First-Time Web Check-In
During your first checkin process on an event with name tag printing enabled, the print feature will start automatically. Here is where you can configure any printer settings and begin printing.

Tip: Before you begin actual printing, we recommend that you run a text.

Modify Printer Settings Later
To change the Printer, Paper Size, or Layout:
On iPhone: Tap the top-right menu (⋯) in Printer Setup.
On iPad: Use the option beside the search box.
Troubleshooting
General Troubleshooting
These troubleshooting steps apply to all supported printers. If you have any printing issues, please follow these steps before moving on to more advanced troubleshooting.

Ensure the Printer is Powered On and Connected
Make sure the Brother printer is turned on.
Check that the WiFi LED is solid (not blinking).

Verify Network Connection
Your mobile device and printer must be on the same WiFi network.
If using Direct WiFi Mode, connect your device to the printer’s WiFi.

Check Local Network Permission (iOS Only)
On iOS, go to: Settings > Privacy > Local Network
Make sure ChMeetings is allowed to access the local network.

Restart WiFi or Printer
Toggle WiFi off and on on your device.
Restart the printer if it's still not found.

Incorrect Label Size?

If you see an error or misaligned print, make sure the roll you use is supported:

Wrong Label Type Error
The Wrong Label Type error could mean that the label type installed in your printer is not supported in the app; or that you need to change the paper size in your printer settings. Other errors that might occur are: Cover Not Closed, Retrying Print, or Printer Out of Labels
This error might be resolved by taking the label cartridge out of your printer, then reinserting it, making sure it’s inserted in its correct position. The cartridge should click into place when inserted correctly.
If your paper size is the same as that selected in the Printer Settings but you’re still having issues:
Make sure the black lines on the label roll are on the right-hand side when installing.
Remove and reinsert the cartridge, ensuring it clicks into place when fully inserted.
If you have a reusable cartridge, the label refill must match the original labels that came with it. If the cartridge must be reassembled after changing the roll, disassemble and reassemble it. Be sure the pieces are correctly aligned and tightly reassembled.
Take out the label cartridge, then hold the printer open upside down and carefully tap on it. This should take out anything caught in the printer label well that might prevent the cartridge from being correctly detected by the printer. If the cartridge pins are blocked or somehow misaligned, then the printer might not detect the cartridge.
If you have another Brother printer with a set of labels that are printing, try placing the label roll or the entire cartridge into the printer with issues, and see if that works. If printing works after this, it's likely that one of the situations explained above is occurring.
Your label cartridge should match the label type you load into it. The small circles at the bottom of the label cartridge tell the printer which labels are loaded, and if the cartridge is damaged or the wrong cartridge was loaded with or the cartridge and labels don’t match, then you might not be able to print and receive label-related errors.
The Printer Can’t Be Found In The Brother App
If you are using a Brother app and your printer is not discoverable neither in this app, nor in ChMeetings, then we recommend getting in touch with Brother Support to troubleshoot the issue.
