Introduction
ChMeetings makes it possible for your congregation to register by themselves as members within the app.
Ensure appropriate member permissions
Before you can allow people to register for ChMeetings accounts with your church, we advise that you make sure they have appropriate permissions. You can do so by going to Users & Roles - Roles & Permissions, where you can edit the Member role permissions.
Enable member registration
There are a few features within the Member Access module, which allow you to set this up. These features are:
- Allow existing members to gain member access.
- Allow new members to register.
- Automatically approve member registration.
- The invitation link.
Please enable or disable each feature, as your circumstances may require. Please also make sure that you customize your Thank you Message, Info/Tagline, Invitation Email and Invitation Text.
Let’s look at the process through which you can use these features and more to allow your members to register to ChMeetings by themselves.
The member registration process
This means that you set up ChMeetings to allow members to register by themselves, rather than needing to have their profiles and accounts created by someone else. This saves you time and provides people with autonomy.
There are three ways for people to register, regardless of whether they have an existing profile or not:
- Method 1: Via the registration link received from your church: If your church enables member registration, you should receive an invitation registration link. This link will take you directly to your church’s registration form.
- Method 2: By finding your church through the default ChMeetings app link: If you do not have the link from your church, you can also go to: https://app.chmeetings.com/
- Method 3: Using the mobile app, which you can download from either Google Play (for Android phones) or the Apple App Store (for iPhones).

Next, let's look at what the registration process looks like for people who have an existing profile, and for those who don't.
For people with existing profiles
If this feature is turned on, then anyone who has a ChMeetings profile (that has been previously created by someone in your team) can create an account by themselves if they register with the same email address used in their profile.
In order for someone with an existing profile to register as a member, they will need to follow the steps below:
- Access your church URL. You can find and customize it under Settings - Account Settings.
- Click on Create Account. This will take them to the next step of the registration process.
- Next, members will need to enter their email address. They are required to use the same email that they have provided to your church when first creating their profiles. This makes sure that their account is associated with their existing information.
- If the registration was successful, they will be notified that they will receive further instruction via email. When accessing their inbox, they will be able to see the information that you have configured under the Invitation Email, within the Member Access module. They will be able to log in and configure their password right away, at which point their registration is complete.
- If their email does not match the one on their profile, then the registration will not proceed and they will be asked to provide a different email address.
For new members
When this feature is enabled, anyone who wants to join your Church and has access to your registration URL can create an account, by following the steps below:
- Access your church URL. You can find and customize it under Settings - Account Settings.
- Click on Create Account. This will take them to the next step of the registration process.
- New members now need to enter their profile information. If you use the default registration process, people will need to fill out a few basic fields. However, if you have enabled custom registration, they will have the possibility to register by filling out their profile fields straight away.
- The last step is to click again on Create Account. They will be notified that they will receive further instruction via email. When accessing their inbox, they will be able to see the information that you have configured under the Invitation Email, within the Member Access module. They will be able to log in and configure their password right away, at which point their registration is complete.
Enable registration for both people with existing profiles and new members
You can have both of the features above enabled, in which case, the following scenarios may occur:
- If the person who registers already has a profile and they use the matching email address, then they will follow the steps for people with existing profiles.
- If the person who registers uses an email that does not exist in your profiles database, then they will create a new profile after registration. In this case, it is important to note that there is a chance for people to create a second profile. If this happens, you can use the Merge People feature to combine the profiles into one.
Announce member registrations
Once you enable registration and configure all your invites and messages, you are ready to announce your registration.
You can do so using the Invitation Link, which you can also find within the Member Access module.
You can copy the link by clicking the Copy button. You can then paste the link wherever you need it: In emails, text messages, in-app notifications, on the web, etc.
You can also generate a QR code which, when scanned, will take people to the invitation link.
You can either print the QR code or use the digital image wherever you need to.
Please note that, regardless of the form in which you decide to use the code, people will need to have a QR Scanning app on their smartphones in order to be able to scan. Some phones include this feature within their built-in camera app.
